Team and workspace

Create and manage teams, invite collaborators, roles and isolated gallery

What is a team

A team is a shared space where multiple collaborators work together. The team has:

  • A shared gallery (images, videos, audio generated together)
  • Projects and folders shared among members
  • A single credit pool for all members
  • Roles (Owner, Manager, Member) that control who can do what

Each member only sees content from the team they belong to — the gallery is isolated per workspace.

Who can create a team?

Only Enterprise accounts can create teams. If your account is Personal or Business, you can still join a team if you receive an invite.

To set your account to Enterprise:

  1. Open your personal menu → Account tab
  2. Identity section → Account type
  3. Select Enterprise
  4. Save

Now you'll be able to create teams in the Team section.

Create a team

  1. Open your personal menu → Team tab
  2. Create a new team section
  3. Enter the team name (e.g., "Acme Marketing")
  4. Click Create

The team will be available immediately. You can start inviting collaborators.

Invite collaborators

  1. In the Team tab, open the team (click the row)
  2. Invite a member section
  3. Enter the person's email
  4. Choose the role: Member or Manager
  5. Click Invite

The invite is sent via email or the collaborator will see it in the Team tab on next login.

Note: to accept an invite, the person must already have an OmniaStudio account. If they don't, ask them to sign up free first.

Roles in the team

RolePermissions
OwnerFull control: manages members, roles, deletion, settings. One owner per team.
ManagerInvites and removes members, changes roles, but can't delete the team.
MemberAccesses gallery and generates content, but can't manage other members.

Switch workspace (Personal ↔ Team)

Top right, under the logo, you'll see the Workspace selector:

  • Personal — your private area
  • [Team name] — each team you belong to

Click to switch. The gallery, credits, and projects change immediately.

When you switch workspace:

  • The Gallery shows only assets from the active workspace
  • Credits displayed are from that workspace (team pool if in a team)
  • Projects are from that workspace
  • Invites are local to the workspace

You never see private content from other workspaces.

Shared credit pool in teams

A team has shared credits:

  • The owner/manager sees the total team balance
  • Each generation consumes from the common pool
  • There are no per-member quotas (everyone draws from the same balance)

If the team has 5,000 credits and you're a member, you can generate up to the pool's exhaustion.

Manage members

As owner or manager:

  1. Open the team
  2. Members section
  3. Next to each member:
  • Change role (dropdown) — from Member to Manager (you can't change the owner)
  • Remove — the dark button; if you click on yourself, you leave the team

Attention: when you remove a member, they lose access to the team's gallery and projects. Their content remains, but they're no longer the owner.

Pending invites

If you've invited someone who hasn't accepted yet:

  1. Open the team
  2. Pending invites section
  3. You can:
  • Resend — send a reminder email
  • Revoke — cancel the invite

Rename the team

Only the owner:

  1. Open the team
  2. Team settings section
  3. Edit the name
  4. Click Rename

Delete the team

Only the owner, and it's irreversible:

  1. Open the team
  2. Team settings section
  3. Click Delete team
  4. Confirm

All members will return to their personal workspace. The team's content remains in the database but won't be accessible as a shared team gallery anymore.

Receive an invite

If someone invites you to a team:

  1. You'll receive an email with the link (or see it in the Team tab on login)
  2. Open the Team tab → Received invites section
  3. Click Accept
  4. The team will appear in the workspace selector at the top

You can decline the invite with Decline — you won't access the team.

Common questions

"How many teams can I create?"

Unlimited (if you're Enterprise). There's no limit on teams per account.

"Can I be a member of multiple teams?"

Yes, you can belong to multiple teams at once. Switch between them using the workspace selector at the top.

"If I leave a team, do I lose the content?"

No. Your assets remain in the team even after you leave. The owner/manager has access to the content.

"Does the team have separate credits from my plan?"

Yes. An Enterprise team has its own credit pool, independent from your personal balance. If you join a team with insufficient credits, you can't generate until the team buys more.

"How do I monitor team costs?"

In the Usage tab (when you open the team as a workspace), you see the breakdown of credits spent per service and the historical ledger. For the total billed, read Billing.
